Welcome to Records Management Services

As a public agency, defined by KRS 61.870, Morehead State University is required by law to establish a comprehensive records management program. Public records are defined in KRS 61.870 as documentary materials in all physical formats which are "prepared, owned, used, in the possession of or retained by a public agency."

Instructions Regarding Records Retention and Destruction

Records Consultation:

If you are uncertain about the retention and disposition of a record, please contact the University Archivist. The Archivist can be reached at d.ullrich@moreheadstate.edu or by calling 3-5122.

Transferring Permanent Records to Special Collections & Archives:

If you have been routinely sending records to Special Collections & Archives, please continue to do so.  However, if you have never sent any items, or if you plan to send items, please complete the Records Transmittal form before sending the records. Instructions on how to fill out the form can be viewed here. Once Special Collections & Archives has received this form, someone will contact you to arrange the transfer of the items.

Before you destroy any records, please contact Special Collections & Archives and complete a Records Destruction Certificate. Click here to download a copy of the Records Destruction Certificate. Please do not sign form. Once you have completed the Records Destruction Certificate, complete the Cover Sheet, and send to Special Collections & Archives located at 406 Camden-Carroll Library.

Kentucky Open Records Act Requests

Certain records housed in the University Archives have been identified by the Office of General Counsel, such as the University's Operating Budget and Personnel Roster, as being regulated by the Freedom of Information Act and the Kentucky Open Records Act. All questions and requests must be directed to the Morehead State University Office of General Counsel.

University regulation regarding inspection of public records is governed by UAR 901.04. Under this UAR, the General Counsel of the University serves as the official records custodian for the University as it pertains to requests under the Kentucky Open Records Act (KORA), KRS 61.870.
